The 7 Secret Systems Every Founder & High Achiever Needs to Stay Sane

The best part is that the right systems can apply not only to your work life but also to your personal life. So instead of constantly running on overdrive, you’ll have a framework that keeps everything running smoothly, in all aspects of life, without you having to do it all yourself. 

Here are the 7 must-have systems to stay organized, efficient, and sane.


1. Documentation & File Storage System: No More Digital Chaos

If you’ve ever spent 20 minutes searching for a file only to realize it was saved in the wrong place (or worse, nowhere at all), you know the pain of a messy digital system.

For Your Work Life: Create a central storage location (Google Drive, OneDrive, Notion, etc.) and organize it with consistent folder structures (for example, try out the PARA system). Use clear naming conventions (e.g., “YYYY-MM-DD_ProjectName_Version”) to avoid confusion and document your storage location(s) and naming conventions so they’re easy to follow and replicate.

For Your Personal Life: Apply the same principles to your personal files! Store important documents like insurance policies, medical records, and travel itineraries in a well-organized digital folder. Keeping everything in one place makes it easier to find what you need when you need it. And don’t forget about “documentation” in the form of your schedule! A shared digital calendar (like Google Calendar) can be a lifesaver for coordinating family events, appointments, and travel plans—no more double-booking or last-minute surprises.


Pro Tip: If your team constantly asks, “Where’s the XYZ file?”—it’s a sign you need a clear folder structure and a simple guide explaining where to find key documents. A quick “Where to Find It” doc with links to important files can save everyone time and frustration.


2. RACI: Know Who’s Doing What (So Nothing Falls Through the Cracks)

Ever been in a situation where two people thought they were responsible for something…so no one did it? Or maybe everyone thought they were responsible, leading to a mess of duplicated effort? That’s where a RACI chart (Responsible, Accountable, Consulted, Informed) comes in.

For Your Work Life: A RACI helps clarify who does what, reducing confusion and unnecessary back-and-forth. For example, when launching a new product, marketing might be responsible for promotions, the COO is accountable for the timeline, leadership is consulted for approvals, and the customer support team is informed so they can prepare FAQs. Document a RACI for key business processes to make sure everyone is on the same page.

For Your Personal Life: A RACI isn’t just for business; it can work wonders at home, too. Think about all the moving pieces in running a household. Who’s responsible for planning meals? Instead of relying on memory, your team can follow a documented process, reducing errors and saving time.

For Your Personal Life: Think about routines like preparing for travel, managing household expenses, or even holiday planning. A checklist for “What to pack for a family vacation” or “How to Set Up the WiFi Router” means you don’t have to waste hours of frustration or valuable mental space every time these activities come up.

Pro tip: Start small. Document the tasks you repeat most often. It doesn’t have to be overcomplicated with lengthy explanations and screenshots. Even a simple bullet-point checklist can make a big difference in saving time and reducing mental load.
